Why Commercial HVAC Problems Sometimes Disappear Before the Technician Arrives

Intermittent HVAC problems can be frustrating because the system may stop cooling, trip offline, short cycle or generate a comfort complaint, then appear to be operating normally by the time a technician arrives.


Mechanical or operational problems typically do not resolve on their own, but they may happen under specific conditions that are difficult to replicate. Determining the root cause, whether that’s changing loads, outdoor temperatures, occupancy or less obvious contributing factors, may require thorough troubleshooting.


Some HVAC Problems Only Appear Under Heavy Load

A system may operate normally during light demand but begin struggling once cooling or heating loads increase. For example:


  • Motors or compressors that overheat after running for an extended period
  • Electrical components that begin failing as operating temperatures rise
  • Equipment that trips or shuts down only during periods of peak demand


By the time a technician arrives, the system may have cooled down or the building load may have decreased enough for the equipment to operate normally again.


Electrical Problems Can Come and Go

Not every electrical failure causes an immediate permanent shutdown. Loose connections, failing contactors, weak capacitors, intermittent relays or overheating motors can sometimes produce problems that only appear under certain operating conditions.


A component may begin malfunctioning after extended runtime, cause the equipment to trip and then work again after it cools. If the system restarts, the underlying problem may still be present and return under similar conditions.


Sensors and Controls Can Cause Intermittent Problems

Commercial HVAC systems depend on sensors, thermostats and controls to determine when equipment should start, stop or change operating modes. Intermittent problems may involve:


  • Temperature or pressure sensors providing inaccurate readings
  • Control signals dropping out temporarily
  • Scheduled operating changes triggering a problem at the same time each day
  • A fault clearing after the system cycles or resets


These problems can be difficult to identify if everything appears normal when the system is inspected.


Safety Controls May Temporarily Shut Equipment Down

Commercial HVAC systems include protective controls designed to stop or limit operation when conditions move outside acceptable ranges. Depending on the equipment, shutdowns may result from:


  • High- or low-pressure conditions
  • Condensate drain or drain-pan overflow safeties
  • Freeze protection
  • Motor overloads


Once conditions normalize or the equipment resets, the system may begin running again. The reset does not necessarily eliminate the underlying cause, which may involve airflow, water flow, heat rejection or another operating problem.


Why Reproducing the Problem Can Be Difficult

Intermittent failures are often difficult to recreate because the exact conditions that caused them may not be obvious or predictable. A technician may arrive after:


  • The equipment has cooled down
  • Outdoor temperatures have changed
  • Occupancy has decreased
  • Production equipment has stopped running
  • The system has already reset itself


Running the equipment briefly under lighter conditions may not reproduce a failure that only occurs after several hours of operation.


Operating History Can Help Identify the Cause

Stored fault codes, alarm history, BAS data, temperature or pressure trends and previous service records may provide clues about what happened before the equipment returned to normal operation.


Facility staff can help by noting when the problem occurred, which areas or equipment were affected, whether the system restarted on its own and any alarms or error codes that appeared.


The more information a technician has about the conditions surrounding an intermittent failure, the easier it may be to identify a problem that is no longer occurring when service arrives.
